Welcome to UKM Siswa by Universiti Kebangsaan Malaysia (us, we, our). In this privacy policy (privacy policy), "you" and "your" means you, the person using or visiting our app.

2. What information do we collect?

1. When you access and use the app, we collect certain information about your visits to the app and how you use it. This information may be collected by a third party analytics provider or debugging provider on our behalf such as Google Analytics and Firebase

2. to provide customer service in relation to your use of our app, to deal with enquiries and complaints relating to your use of our app and to notify you about changes to our services;
3. to administer, develop, improve our app for example so as to improve your browsing and viewing experience;

5. to manage your academic records and progress;
6. to facilitate course registration and academic planning;
7. to send you important notifications about your academic status, events, and university announcements.

1. Other than as expressly set out in this privacy policy or as otherwise required or permitted by law, we will not share, sell or distribute any of the information you provide to us without your consent.

1. to any third party to whom disclosure is necessary to enable us to provide you with any services or products that you have requested through the app which may be provided by such affiliates or third parties;
2. to any person to whom disclosure is necessary to enable us to enforce our legal rights, or to protect the rights, property or safety of our employees or where such disclosure may be permitted or required by law (including without limitation to any court, regulator or other relevant authority);
3. to relevant faculty members and administrative staff for academic and administrative purposes;
4. to government bodies or regulatory authorities as required by law or for statutory reporting purposes.

5. Third party content, apps and contributors

1. Our app allows you to access content from and directs you to links from UKM sources and third party contributors. Such third parties may place cookies on your internet enabled device.
2. We do not control third party sites, apps or cookies and this privacy policy does not apply to them. Any information such third parties collect by virtue of you clicking on a third party link on our app will be collected and used in accordance with the privacy policy of that third party. Please therefore consult the terms and conditions and privacy policy of the relevant third party apps to find out how the apparatus of such app collects and uses your personal data and to establish whether and for what purpose they use cookies.

6. How we protect your information

1. All information that we hold about you will be collected and processed by us or by a data processor appointed by us to undertake processing on our behalf. Your personal data will be stored within Malaysia and controlled by us.

We have put in place appropriate technological and operational security measures to protect against any unauthorised access to or any unlawful processing of any personal information about you that we hold. However, you acknowledge that data transmission over the internet is inherently insecure and that we cannot guarantee the security of any data sent over the internet.
3. We will retain your information for the duration of your enrollment at UKM and for a reasonable period thereafter, or as long as the law otherwise permits.
4. Access to your personal information is strictly limited to authorized university personnel who require this information to perform their duties.

7. Your rights

1. If you have any questions about the personal information that we hold about you or would like to make any requests in relation to it, please contact us using the contact information provided in paragraph 1 above.
2. We reserve the right to ask you for proof of your identity and to charge you a fee to meet our costs in granting any data access request you make.
3. You have the right to request access to, correction of, or deletion of your personal data, subject to certain limitations imposed by law or university policies.

8. Delete your account

1. Send email to ptm.ukm@gmail.com to request account deletion
2. Your account will become inactive after request is processed, and profile will be removed after 6 months
3. Please note that certain information may be retained in our records to comply with legal obligations, resolve disputes, and enforce our agreements.

9. Updates to this Privacy Policy

1. We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons.
2. We will notify you of any material changes to this policy through the app or via email.
